Description
Our client runs a food traceability business. They needed one system to manage how food products move from the production site through wholesale distributors and retail points, all the way to the end consumer, and to prove where each product comes from. We built the full system with two main products. The admin web app lets the client manage producers, products, quality certificates, QR codes, the distribution network, and reports from one place. The mobile app serves the people on the ground: distributors and agents use it to receive goods, activate QR codes, and track stock and orders, while consumers scan a product's QR code to see its origin and full journey before they buy. Every product carries its own QR code, so each step in the chain is recorded and can be checked at any time.
Highlights
Traceability from production to consumer - each product's origin, production batch, certificates, and distribution steps are recorded and shown in a single QR scan.
Full distribution network management - producers, wholesale distributors, agents, and retail points are managed in one system, with clear visibility of where every batch is.
Two apps, one connected system - an admin web app for managing the whole network and a mobile app for distributors, agents, and consumers, all working on the same real-time data.
Built to meet food quality standards - producers can attach certifications such as VietGAP, USDA, and EU Organic so buyers can check them before purchase.
Challenges
1. Making food origin visible and trustworthy
Consumers and retailers increasingly want proof of where food comes from, but data about origin, batches, and certificates was scattered across producers and distributors. The client needed a simple way for anyone to check a product's origin, and a system that makes it hard to fake or change that information.
2. Managing a multi-level distribution network
Products pass through many hands: producers, wholesale distributors, agents, and retail points. Each party has a different role and needs different access. The client needed to track goods and QR codes accurately at every level, with a clear history of who did what and when.
3. Serving office users and field users at the same time
Admins need a powerful tool to configure and monitor the whole network, while distributors, agents, and consumers need something fast and simple on their phones, often in warehouses or stores. Both sides had to work on the same data without delays or conflicts.
Solutions
1. A QR-based traceability flow for every product
We designed a traceability flow in which every product is linked to a unique QR code, created and activated in the system. The QR code connects to the product's producer, batch, certificates, and distribution history. When a consumer scans it with the mobile app, they see the product's origin and journey instantly. Every change is logged with a timestamp and user, giving a complete audit trail.
2. An admin web app with role-based access
We built an admin web app to manage producers, products, certificates, QR code issuance, and the distribution network, with dashboards and reports for monitoring the whole chain. Role-based access control makes sure each user (admin, producer, distributor, agent, retailer) only sees and does what their role allows. An audit and monitoring module tracks activity and flags unusual QR scan patterns that may signal counterfeits.
3. A mobile app for distributors, agents, and consumers
We built one mobile app with separate experiences for field users and consumers. Distributors and agents receive and activate goods, check stock, and update orders in a few taps; consumers scan QR codes to verify products. Behind both apps, an API gateway, caching, and message queues keep the system fast and responsive, even during busy periods.
Results & Impact
End-to-end visibility - the client can follow every product from the production site to wholesale, retail, and the end consumer in one system.
Faster, simpler field operations - distributors and agents manage goods, QR codes, and orders from their phones instead of paper and spreadsheets.
Instant origin checks for consumers - one QR scan shows a product's origin and certificates, building trust in food products.
Ready to grow - a modular architecture that can add new producers, distributors, and regions as the network expands.
